Residence Club Reservations Policies and Procedures
Owners may use their particular Residence during their two (2) Primary Vacation Weeks and three (3) Planned Vacation Weeks, subject to the Reservation Policies and Procedures described below.
It is the sole responsibility of each Owner to submit requests for reservations in the manner prescribed below to ensure the full Residence use benefits.
Vacation Week privileges not used during an Owner Year will not carry forward to the following Owner Year.
The Red Frog Beach Private Residence Club Board of Directors reserves, as permitted in the Ownership Documents, the right to amend these Reservations Policies and Procedures from time to time as conditions warrant.
RESERVATIONS PROCEDURES
Planned Vacation Weeks
By August 1st of each Owner Year, Owners are mailed a Planned Vacation Weeks Reservation Request form which invites Owners to select their Planned Vacation Week dates for the upcoming Owner Year. If the Planned Vacation Week Reservation form is not received by the Owner by August 15th, the Owner should immediately notify the Reservations Office.
Each Owner is entitled to three (3) Planned Vacation weeks for the upcoming Owner Year subject to the Reservations Policies and Procedures.
By August 31st of each Owner Year, the completed Planned Vacation Week Reservation Request forms are required to be completed and returned to the Reservations Office. It is the Owner's responsibility to complete and return the Planned Vacation Reservation form by August 31st to preserve priority rights for the upcoming Owner Year. Planned Vacation Week Reservation forms received after August 31st will be considered on a first-come, first-served basis after the Planned Vacation Week Reservation forms which were received in a timely manner have been processed.
After August 31st, the Reservations Office allocates the Planned Vacations Weeks in the following manner:
First Planned Vacation Reservation Request - The First Planned Vacation Reservation Requests are received. First Planned Vacation Reservation Requests are then processed and confirmations are delivered. When demand for certain dates exceeds availability, the Member with the lowest rotating Reservation Priority Number will be confirmed first.
Second Planned Vacation Reservation Request - After the First Planned Vacation Reservation Requests are processed, the Second Planned Vacation Reservation Requests are then reviewed. Second Planned Vacation Reservation Requests are then processed and confirmations are delivered. When demand for certain dates exceeds availability, the Member with the highest rotating Reservation Priority Number will be confirmed first.
Third Planned Vacation Reservation Request - After the Second Planned Vacation Reservation Requests are processed, the Third Planned Vacation Reservation Requests are reviewed. Third Planned Vacation Reservation Requests are then processed and confirmations are delivered. When demand for certain dates exceeds availability, the Member with the lowest rotating Reservation Priority Number will be confirmed first.
Starting September 1st, written confirmation of the Planned Vacation Weeks Reservation Requests is delivered to all Owners. Additionally, a reservations calendar will be sent indicating which dates have been reserved by which Owners. Those Owners who reserved fewer than their allotted Planned Vacation weeks will then have the opportunity to make additional Planned Vacation Week Reservation Requests during the month of September on a first-come, first-served basis.
Internal Exchanging of Primary Vacation Weeks and Planned Vacation Weeks - Owners may exchange Primary Vacation Weeks and confirmed Planned Vacation Weeks with other Owners. Owners will be provided a reservations calendar after Planned Vacation Week Reservation Requests have been confirmed. Exchanges should be arranged directly between Owners. Written notice of an exchange must be provided to the Reservations Office at least fourteen (14) days prior to the Arrival Day of the Owner using the earliest Primary Vacation Weeks or Planned Vacation Weeks involved in the exchange. The Reservation Office encourages and will make all reasonable efforts to facilitate such exchanges between Owners.
